1. Our Commitment to Privacy

LinenBids LLC ("LinenBids," "we," "us," or "our") operates the LinenBids website at linenbids.com (the "Platform"), a business-to-business marketplace connecting companies that require commercial linen, uniform, and facility services (“Customers”) with qualified service providers (“Providers”).

This Privacy Policy describes how we collect, use, store, share, and protect personal information in connection with the Platform. It forms part of our Terms of Service. By creating an account and agreeing to our Terms of Service and Privacy Policy, you consent to the practices described in this Policy.

We encourage you to read this document carefully. If you have questions, please contact us using the details in Section 12.

This Policy applies only to personal information collected through the Platform. It does not apply to information collected by any third party, including websites, applications, or services that may be linked to from the Platform, or to third parties whose tools or content are accessible through the Platform. LinenBids does not control and is not responsible for the privacy practices of those third parties. We encourage you to review the privacy policies of any third-party services you choose to interact with.

2. Information We Collect

In this Policy, "personal information" means information that identifies, relates to, or could reasonably be linked to you as an individual, such as your name, email address, phone number, or device identifiers. The categories of personal information we collect through the Platform are described below.

Account Information

When you create an account, we collect: your name, email address, phone number, company name, industry type, and role (Customer or Provider). Providers may also supply business licenses, service area information, and capabilities.

Service and Transaction Information

We collect information related to your use of the Platform, including RFQ details (service requirements, locations, delivery schedules), bid submissions (pricing, terms, availability), contract and payment information (acquisition fee amounts, Stripe payment identifiers), and communication records related to transactions.

Usage and Device Information

When you access the Platform, we automatically collect: your IP address (used to derive approximate geographic location at city or region level), browser type and version, device type, operating system, pages visited, time spent on pages, and referring URLs.

Analytics and Behavioral Data

When you use the Platform, PostHog (our third-party product analytics provider) uses automatic data collection technologies, including cookies and similar tools, to collect information about your interactions with the Platform directly from your browser. PostHog may collect pages visited, features used, session duration, click patterns, scroll behavior, and navigation paths, and assigns a randomly generated anonymous identifier to your browser to associate this information with your session. See Section 7 for a full description of PostHog's data collection practices, your opt-out options, and our session recording disclosure.

Information from Third Parties

We may receive information from third-party services you use to interact with the Platform, including our authentication provider (Supabase Auth) and payment processor (Stripe). We do not receive or store your full credit card number or financial account credentials.

We do not knowingly collect sensitive personal information as defined under applicable law, including Social Security numbers, government-issued identification numbers, financial account credentials allowing account access, biometric data, or GPS-level precise location data.

3. How We Use Your Information

We use your personal information for the following purposes:

To Operate the Platform

  • Create and manage your account
  • Match Customers with relevant Providers based on service area, capabilities, and industry
  • Facilitate the RFQ, bidding, and award process
  • Process acquisition fee payments via Stripe
  • Exchange contact information between awarded parties upon completion of payment

To Improve the Platform

  • Analyze usage patterns and platform performance using PostHog product analytics
  • Conduct internal research to improve features and user experience
  • Monitor and prevent fraud, abuse, or violations of our Terms of Service
  • Compile anonymized, aggregated statistics derived from bid and transaction activity on the Platform, including pricing data, for internal research, platform improvement, and market insights. Any such aggregated data is de-identified and does not identify individual Providers, Customers, or the specific terms of any transaction. This use is further described in our Terms of Service.

To Communicate with You

  • Send transactional emails related to your account activity (bid notifications, award confirmations, payment receipts, connection introductions)
  • Respond to your inquiries and support requests
  • Notify you of changes to our Terms of Service or this Privacy Policy
  • Send platform update notifications about new features and service improvements

To Comply with Legal Obligations

  • Carry out our obligations and enforce our rights arising from any contracts entered into between you and us, including for billing and collection
  • Comply with applicable laws, regulations, and legal processes
  • Respond to verified requests from users to exercise their privacy rights
  • Protect the rights, property, or safety of LinenBids, our users, or the public

Further, we may use your personal information to fulfill any other purpose for which you provide it, in any other way we may describe when you provide the information, or for any other purpose with your consent.

4. Information Sharing

We share your personal information only in the following circumstances:

Between Platform Users

  • Customers: Your company name, industry, service locations, and RFQ details are shared with Providers who may bid on your request. Your direct contact information (email, phone) is shared only with an awarded Provider after they complete payment.
  • Providers: Your company name, service capabilities, and bid details (including pricing and service specifications) are shared with the Customer who posted the RFQ. Your direct contact information is shared only with a Customer who awards your bid, and only after payment is completed.

Service Providers

We share information with the following third-party service providers who perform services on our behalf. Each provider processes data solely to deliver the described service and is contractually prohibited from using your information for their own commercial purposes:

Legal Requirements

We may disclose your information if required by law, court order, or governmental regulation, or if we believe disclosure is necessary to protect the rights, property, or safety of LinenBids, our users, or the public.

Business Transfers

If LinenBids is involved in a merger, acquisition, or sale of assets, your personal information may be transferred as part of that transaction. We will notify you of any such change and your choices in connection with it.

No Sale of Personal Information

We do not sell your personal information to third parties. We do not share your information with third parties for their own marketing purposes. The transfer of your information to our service providers (including PostHog) does not constitute a sale of personal information, and our agreements with service providers expressly prohibit them from selling or using your information for their own commercial purposes.

5. Data Security

We take reasonable measures to protect your personal information from unauthorized access, disclosure, alteration, and destruction, including:

  • Encrypted connections (TLS/HTTPS) for all data in transit
  • Secure authentication with encrypted password storage
  • Row-level database security policies to ensure users can only access their own data
  • Access controls limiting employee and contractor access to personal information on a need-to-know basis
  • Regular security reviews of our infrastructure and codebase

While we take these measures seriously, no method of electronic storage or transmission is completely secure. We cannot guarantee absolute security.

In the event of a data security breach affecting your personal information, we will notify you and relevant authorities as required by applicable law. Please contact us immediately if you become aware of any unauthorized use of your account.

6. Email Communications

We send the following types of emails:

  • Transactional emails — directly related to your account activity (including RFQ submissions, bid notifications, award confirmations, payment receipts, and connection introductions). These emails are necessary to provide our services and cannot be opted out of as they facilitate transactions you have agreed to undertake.
  • Platform updates — notifications about new features, matching opportunities, or service improvements. You may opt out of these at any time by following the unsubscribe instructions in any such email or by contacting support@linenbids.com.

We do not send third-party marketing emails. You can manage your notification preferences in your account settings or by contacting support@linenbids.com.

All emails include our mailing address as required by the CAN-SPAM Act. You may also opt out by following the unsubscribe instructions included in any non-transactional email.

7. Cookies and Tracking Technologies

Cookie Categories

We use cookies and related analytics technologies on the Platform. This section explains what we deploy, why, and how you can control it.

We use two categories of cookies:

  • Necessary cookies are required for the Platform to function. They cannot be disabled without preventing you from using core platform features.
  • Analytics cookies are set by PostHog. They help us understand how the Platform is used so we can improve it. Data collected by these cookies is transmitted to PostHog's servers in the United States.

Session Recording

We use PostHog's Session Replay feature to record how users navigate the Platform. Session recordings capture mouse movements, clicks, and page scrolling. All form fields on the Platform (including fields where you enter text such as your name, email address, or bid information) are suppressed: their contents are never recorded or transmitted to PostHog. Session recordings are used solely to improve the Platform's user experience and are not used for advertising, profiling, or any other purpose. Recordings are automatically deleted after 30 days.

Do Not Track and Global Privacy Control Signals

LinenBids' analytics provider (PostHog) does not natively honor Do Not Track (DNT) browser signals. If you do not want PostHog to collect analytics data about your visit, you can opt out directly at posthog.com/privacy. Some browsers and privacy extensions block PostHog requests at the browser level; if you use such tools, PostHog may be unable to collect any data about your session regardless of your cookie settings.

LinenBids does not sell your personal information and does not conduct cross-context behavioral advertising. Global Privacy Control (GPC) opt-out signals therefore have no operative effect on our current data practices. We will honor GPC signals as required by applicable law and will update this Policy if our data practices change.

Future Tracking Technologies

We will update this Privacy Policy before deploying any additional tracking, analytics, session recording, or advertising technologies on the Platform.

8. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with our services. Specific retention periods:

When we no longer need your personal information, we will take reasonable steps to delete, destroy, or de-identify it in accordance with our data retention schedule.

9. Your Rights

You have the following rights regarding your personal information:

  • Access: You may request a copy of the personal information we hold about you
  • Correction: You may request that we correct inaccurate or incomplete information
  • Deletion: You may request that we delete your personal information, subject to our legal retention obligations and any obligations required to complete pending transactions.
  • Data portability: You may request an export of your data in a machine-readable format where technically feasible.
  • Opt-out of non-essential communications: You may opt out of platform update emails at any time.

To exercise any of these rights, contact us at privacy@linenbids.com. We will acknowledge your request within seven days and respond within 30 days.

Your State Privacy Rights

Depending on your state of residence and applicable law, you may have additional rights regarding your personal information. LinenBids will provide you with any legally required rights in connection with your personal information.

Nevada Residents: Nevada law permits Nevada residents to request that an operator not sell their covered personal information. To submit such a request, contact us at privacy@linenbids.com. LinenBids does not sell personal information to third parties; however, we maintain this contact address to receive and respond to such requests as required by Nevada law. We will respond to verified requests within 60 days.

10. Children's Privacy

The Platform is not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child under 18, we will take steps to delete that information promptly. If you believe we may have collected information from a child, please contact us at privacy@linenbids.com.

11. Changes to This Policy

We review this Privacy Policy at least once a year and update it when our data practices change. We will notify you of material changes by posting the updated Policy on the Platform with a revised effective date and, where appropriate, by email notification.

We also update this Policy before deploying any new tracking, analytics, or advertising technology on the Platform.

Two dates appear at the top of this Policy:

  • Last updated reflects when the text of this Policy last changed.
  • Last reviewed reflects when we last confirmed this Policy remains accurate, even if no text changes were needed.

Your continued use of the Platform after changes are posted constitutes your acceptance of the updated Privacy Policy.
