How to Choose a Linen Service Provider

  • ?Do they offer emergency or rush service, and at what cost?

Contract terms & flexibility

  • ?Is there an annual price cap? What percentage?
  • ?What's the early termination fee, and under what conditions does it apply?

The best per-item price means little if you're locked into unfavorable terms for 5 years.

Customer service & communication

  • ?Who is your day-to-day contact — a dedicated rep or a general line?
  • ?How are billing disputes handled?
  • ?How quickly do they respond to service issues?

You'll work with this provider weekly for years. Responsiveness and communication style matter as much as pricing.

Financial stability & reputation

  • ?How long have they been in business?
  • ?Are they a member of TRSA or other industry associations?
  • ?Can they provide references from businesses similar to yours?

A provider that goes under mid-contract leaves you scrambling. Stability isn't glamorous, but it's essential.

What are the warning signs?

These aren't dealbreakers on their own, but they're worth paying attention to during the evaluation process:

No written contract

Verbal agreements leave you with no recourse. Every term should be documented.

Vague pricing structure

If they can't explain exactly how your invoice will be calculated — unit price × quantity + which surcharges — ask why.

No price cap language

Without a cap, your rates can increase by any amount at renewal. This is the single most common source of billing surprises.

Pressure to sign quickly

A provider confident in their service won't need to rush you. Take time to compare.

Won't provide references

Every established provider should be able to connect you with current customers in your industry.

Unclear loss & damage policy

If they can't clearly explain what counts as "damage" and how charges are calculated, expect disputes.

Unit pricing per line item

Not just a lump sum — you need to see the cost of each item to understand where the value is.

Delivery charges broken out

Service charge, fuel surcharge, environmental fee, and delivery minimums should all be visible separately.

Contract terms side by side

Price cap, termination fee, contract length, auto-renewal terms — compare these with the same weight as pricing.

Total estimated monthly cost

Calculate the all-in monthly cost including surcharges and minimums, not just the unit pricing total.

Service level details

Delivery days, time windows, replacement policies, rush service availability — these differentiate providers beyond price.
